How-To: Using SmarterMail Sync with Shared Calendars

Software affected: SmarterMail v3.x, 4.x and 5.x

SmarterMail Sync exists to synchronize items from webmail to Outlook.  If the item you want to sync with cannot be seen in webmail, you will not be able to access it from Sync either.

So, before even getting SmarterMail Sync involved, make sure that you have access to the item you want to sync with from the web interface.  For example, assuming your username is bobjones, and my username is otherUser, and we're on the same domain. You want to sync with my calendar. 

  1. I need to share my calendar with you. To do this, I go to My Shared Resources. I click Add Share, then My Calendar, next, click share with "Users", then type "bobjones" in the textbox. I want to give you access of Full Control. Click Save.
  2. Now, you need to create a "Map" to this resource. (Much like making a mapped network drive in Windows). In your account, click My Mapped Resources. Now click Attach to Resource. This will display a list of all items you have access to. Find otherUser/My Calendar/Calendar in the list, and click attach.
  3. Now, you should be able to see the new calendar available in the calendar section.
  4. Now, load Outlook and click on SmarterMail Sync, Accounts. Add a new account. Type in the information using your account name and password.
  5. Hit next, which will show you what capabilities the server has. Hit next again, and it will ask you which items you want to sync. Uncheck everything except Calendars. Click the "..." button next to SmarterMail:. This will ask you what you want to sync to. Under "Shared Folders" select "My Calendar on otherUser" and press OK. If you want to create a new Calendar Folder in outlook to hold these events (you do), click on the "..." next to Outlook: and click New... Give it a name of "otherUser's calendar" or something, and select Folder contains Calendar Items. Hit Ok, then Ok
  6. Click Next and choose whether to sync at startup or shutdown, and next again.
  7. Finish.
  8. Now click Synchronize in the SmarterMail Sync bar and select the account you just added. After a moment, it should sync all the calendar events over.

The same process could be used with contacts and tasks.
